A standard Service Bureau operation consists of the following phases:

Document Preparation:  In the first step documents to be scanned are parsed by the expert personnel. Punches and clips are removed from the documents. Documents are identified and priorities are set. Documents that do not need to be scanned are removed from the scan batches.

Document Scanning: Ordered batch of documents are scanned using appropriate professional scanners. Service bureau scanners are basically production scanners with special features to handle high volume of paper documents.

Image Enhancement – OCR/ICR: In this stage algorithms that would enhance the quality of the images are applied. They could be embedded into the hardware of the scanner or into the driver or into the software application. Optimum parameters would be identified using VRS techniques. If there is a need for “full text search” in the Digital Archiving System, OCR engines are used to convert images into text.

Indexing:  The general search criteria for each document are entered using indexing personnel like; document number, date, customer id, document type, etc.  In this stage images are controlled, parsed or joined by the index operators. When possible, related data are extracted from the database.  Barcode Recognition, OMR/IMR algorithms are used whenever necessary.

Quality Control: It is a very important stage of the whole operation. In all the steps of the operation precautions for error detection and detention are taken.  However before transferring the documents and data to the actual system, they must pass a final phase of quality control.

Transfer: The operation is finalized by the transfer of the documents to the Digital Archiving system of the company.
